Privacy Policy

This privacy policy is designed to ensure that PM handles personal data of its employees, candidates, customers (current and potential), suppliers, and other stakeholders in a safe and transparent manner, and that this is done in accordance with the principles of the General Data Protection Regulation (GDPR).

Some key terms

Data controller
The legal person who alone or jointly with others determines the purposes and means of the processing of personal data.
Data processor
The person who processes personal data on behalf of the data controller.
Personal data
Personal data means any information relating to an identified or identifiable natural person; an identifiable natural person is one who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person.
Processing of personal data
Any operation or set of operations which is performed on personal data or on sets of personal data, whether or not by automated means, such as collection, recording, organization, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment or combination, restriction, erasure or destruction.
Legal basis
In order for PM to store and process personal data of various individuals, there must be a legal basis for this. The following four legal bases under GDPR are primarily relevant to our business:

Contract You or the organization you represent have entered into or will enter into an agreement with us. We may process your personal data to fulfill the conditions of the agreement.

Consent As an individual, you have given us your permission to handle your personal data for certain purposes that you have been clearly informed about. You can withdraw your consent at any time, and then we must stop the current processing of personal data.

Legal obligation As a company, we must handle your personal data in order to comply with laws and regulations.

Legitimate interest PM may process personal data without the consent of the data subject if the data controller's interests outweigh those of the data subject, and if the processing is necessary for the relevant purpose. The central point is that the risk of violating the individual's personal integrity is very small.
PM processes personal data for various groups of stakeholders. The following describes which groups' personal data is processed, why we handle this information, and the legal basis for this.
Candidates
In order to deliver PM's services within recruitment, consultancy, coaching, etc., we use a third-party supplier and process personal data for individuals who have consented to be stored. Personal data for candidates who apply for employment locally at PM is also processed in this system.
On the platform, information is provided about this Integration Policy and consent to our processing of the individual's personal data is obtained in connection with registration. This consent constitutes the legal basis for our processing of personal data in this category. Even individuals who register their profile with us without it being in connection with a specific recruitment or consultancy assignment are considered candidates after registration, and no longer potential candidates as described below.

Potential candidates
In order to be able to contact you as a potential candidate regarding relevant career opportunities and other relevant communication, PM collects personal data through its own networks and external searches with third parties and manages them in PMs candidate system. The legal basis on which the processing of this personal data is based is PM's balancing of interests in being able to search for suitable individuals as potential candidates for what PM considers to be relevant recruitment and/or consultant hiring processes, as well as being able to contact and convey future career opportunities to you.

Customers and potential customers
In order for PM to maintain and develop its business relationships and develop its services and new business relationships, the company collects personal data for potential contact persons through its own network, public registers, websites or other third parties. The processing of this personal data is based either on the legal basis Agreement for personal data related to customers with whom PM has an ongoing collaboration regulated in an agreement, or on PM's balancing of interests in being able to establish and develop business relationships, as well as being able to develop its services, products and systems. Agreement or balancing of interests thus constitutes the legal basis for the processing of personal data in this category.

According to PM's email policy, a link to our Privacy Policy is included in every email to a new potential customer/partner so that the registered person can obtain necessary information about the processing of personal data.

Clients
The personal data we process regarding our suppliers are those we need to maintain our professional relationship. This may include personal data regarding customer contacts, support functions, service personnel, finance department or other key individuals. The legal basis for processing personal data in this category is Agreement.

Legal basis
The legal basis for processing personal data for this group varies depending on the reason for our contact. As a starting point, we use the company's balancing of interests as the legal basis. When we note that an individual's personal data processing falls within one of the other groups, the legal basis also changes according to what applies to the new group.
Data processor
In the event that PM is a data processor for an external organization, the processing of personal data shall be carried out in accordance with this policy, unless otherwise specified in a data processing agreement between PM and the data controller.
In PM's role as a provider of recruitment services, we are usually data controllers and the processing of personal data shall be in accordance with this policy. In cases where we handle individual stages in a customer's recruitment process, the customer is to be considered the data controller and PM is the data processor. This is important because as a processor, we cannot use the personal data for any purpose other than the current assignment.
In cases where we share personal data with third-party providers to perform services on our behalf (e.g. payroll and accounting services), these third-party providers are data processors and as such, cannot use your personal data for any purpose other than the service they provide to PM, which is regulated in the agreement.
Correction and deletion of personal data
All personal data we process shall be factually correct and up-to-date for the purpose for which they are processed. Personal data that is incorrect or irrelevant shall be corrected or deleted. You have the right to request that we correct incorrect information and delete information that is no longer necessary for the purpose for which it was collected, provided that there are no legal requirements for the data to continue to be processed.
Register Extract
As the data controller, PM has an obligation to provide a so-called register extract that includes information about the personal data we process about you. You have the right to confirm whether we process personal data about you and, if so, to access this personal data.
